Tip # 331 How To Copy Documents To Multiple Cases

The easiest way to save documents to multiple (related) cases is to use the “Copy” function. To do so, you would save the documents to one of the cases first, then copy them from that case to the others. In all likelihood, you will typically be copying the same documents to related cases. These may be PI cases that are related because of the same accident, for example, or related cases in a Mass Tort setting where you may have a Master and Member cases. Here’s how to perform the copy function:

  1. If the documents have not yet been saved to SmartAdvocate, you would save them to one of the cases using either the attach, document upload or drag-and-drop function.
  2. Once the documents have been saved in one of the cases, you would navigate to the documents page in that case and locate them.
  1. If you are copying more than one document, use the check box on the left to select the documents you want to copy.
  2. Right-Click on one of the selected documents, then select Copy on the initial (large) menu and then Copy on the sub-menu.

The number of documents selected will be noted at the top-left corner of the dialog box.

  1. Select the “Copy to Related/Other Case(s)” radio button.
  2. Click the check box for the cases you want to copy the documents to.
  3. Check the box in the bottom-right corner of the page (Keep Original Document Date) if you want the copied document to have the document date of the originals. Otherwise, the copied documents will have the current date.
  1. Click the blue “Copy” button to complete the process.

The copied documents will retain all other properties (Category, Sub-Category, etc.) other than the document date as mentioned above.
