2. SmartAdvocate™ screens are crisp, clear and easy to read.
Click anywhere on screen for an immediate link to detailed information
in that area. Shortcuts to specific areas of the case file are quickly
available on the navigation bar. Use your mouse to hover over fields
for easy access to additional information.
3. Able to handle and display the multiple relationships that we
have in our cases. For example, multiple plaintiffs, each with multiple
defendants, each with multiple defense attorneys (ie: primary, excess
and personal) each with multiple insurance companies (ie: primary
and excess) each with multiple adjusters (ie: regular and supervisor).
4. The ability to automatically forward cover letters and copies
of documents to clients either by e-mail or snail mail as the documents
are received (pursuant to the rules each law firm establishes –
hereinafter referred to as “Rules Based”). For example,
if a police report is received, if the law firm rules require, a
cover letter and a copy of the police report is e-mailed to the
client automatically as it was received, based upon the police report
icon being linked to an image. If the law firm is not scanning documents
yet, then based on the date the police report was received being
filled in with the date the report was received, the client will
get a cover letter advising them of your receipt[pt of the relevant
document. Same will be true for all documents designed by the law
firm ie: hospital records, medical records, medical reports, deposition
transcripts, expert reports, orders, etc.
5. A Contact system which associates “related” Contacts,
i.e.: it associates adjusters who are working out of a particular
insurance company office of a insurance company, lists all cases
you had with a particular adjuster just by looking at the adjuster’s
Contact card, associates all attorneys working for particular law
firms, displays all cases you had with a particular attorney just
by looking at the attorney’s Contact card, associates a law
secretary to a particular judge and displayes all cases you ever
had with that judge, displays all cases a doctor was involved with
just by looking at the doctor’s Contact card, etc.
6. SmartAdvocate™ gives access to all other matters that
a Contact has had with your office at the click of a button with
details about all of the cases.
7. A state-of-the-art Workflow system which pushes your cases through
the claim and litigation process. The Workflow system will prevent
any file from lingering. The Workflow system automatically creates
documents that need to be created to satisfy the Workflow item that
is currently due. As the Workflow proceeds, if the case status needs
to be updated due to the progress made through the Workflow system,
those case statuses will be automatically updated. The Workflow
is fully customizable for each firm’s method of practice.
8. A Case Summary Screen that gives you a snapshot of your entire
case on one screen.
9. The ability to track the receipt of written co-counsel agreements
with automatic follow-up via the internet and/or mail with the litigating
firm until the co-counsel agreement is received.
10. SmartAdvocate™ automatically creates an Extranet website
for each client so that a client, with a user name and password,
is able to obtain, at any time, the status of their case, access
to their case calendar, access to case documents, hypertext links
to the staff working on their case (all Rules Based). Whenever their
Extranet is updated with new information, the client receives an
e-mail with a hypertext link bringing them back to their Extranet
to see what changes have taken place in their case.
11. If both the litigating firm and the referring firm are using
SmartAdvocate™, as the litigating firm updates their case
file, those updates are sent via the internet and logged into the
referring firm’s corresponding case file for the relevant
cases (on a schedule set by the cooperating firms i.e.: once a day,
once a week, once a month, etc). This way the referring firm is
always be in possession of the latest information as to the status
of their cases. Further, the referring firm has the ability to e-mail
a new case file to the litigating firm. The litigating firm has
the ability to import all of the case data received from the referring
firm without any retyping. Once the case is received and opened
by the litigating firm, an acknowledgment is sent over the internet
which is automatically filed in the appropriate case file of the
referring firm, confirming that the case was received and reflecting
the litigating firm’s file number in the appropriate field.
12. If the litigating firm is using SmartAdvocate™ , but
the referring firm is not, SmartAdvocate™ establishes an Extranet
Website for each referring firm that is not a SmartAdvocate™
user. That website, with a user name and password, enables the referring
firm to gain access to all of their files that they have referred
to the litigating firm and to run pre-formatted status reports on
those cases. This alleviates the necessity of the referring firm
calling the litigating firm to get basic case status.
13. SmartAdvocate™ is designed so that the merge codes for
the various parties, entities and providers incorporate their role
so no longer do you have to have your parties inserted in a certain
order in the database in order to properly merge documents. For
example, a defendant who is the owner of a car and the defendant
who is the operator of a vehicle, etc. have different merge codes
then the defendant who is the owner of the vehicle.
14. SmartAdvocate™ allows the creation of as many statutes
of limitations as is applicable to a particular case type. For example,
if you have an automobile case against a municipality that is also
a malpractice case against a hospital which then results in the
death of the client, depending upon the jurisdiction, you may have
many different statutes to track. For example, you may have to track
a no-fault statute for medical reimbursement and lost wages, etc.
You might have a Notice of Claim as it relates to the municipality
in addition to a short statute of limitations for the personal injury
claim. The medical malpractice action against the hospital as well
as the wrongful death statute may also be different. SmartAdvocate™
tracks the statute of limitations by each defendant as well as by
case and alert whoever is designated about approaching SOLs. SmartAdvocate™
will also track the statute of limitations, by state !
15. SmartAdvocate™ permits access to all documents and e-mails
that relate to a particular party, provider, etc. when you are at
the relevant screen. For example, if you are looking at a doctor’s
screen, you will have access to all the e-mails and letters written
to that doctor regarding that client.
16. SmartAdvocate™, in addition to normal document assembly
projects, permits the mass assembly of documents based upon your
specific needs. For example, if you wanted to send a letter to all
of your closed Baycol clients who alleged muscle injuries, SmartAdvocate
™ can locate those cases, prepare a custom letter and envelope
to each of those clients and file a copy of that letter in each
client’s case file. If SmartAdvocate™ located 1000 cases
which met these criteria, it would prepare all 1000 custom letters
and envelopes at one time. If you only wanted letters to those clients
who reside in new Jersey, its just as easy to do.
17. SmartAdvocate™ has the ability to send your clients update
letters automatically, at pre-determined time periods (Rules Based),
and track for receipt of follow-up correspondence or telephone calls
from the client responding to that letter, if appropriate.
18. SmartAdvocate™ has a special screen to track every aspect
of cases that are referred out. It also has the ability to note
if a case is subject to a “master referral agreement”
so that tracking for a written fee agreement does not need to take
place.
